How to stop cash leakage at your hotel: 8 checks that work
Where money quietly leaves a hotel, from cash stays that never reach the register to quiet discounts and voids, and eight plain checks that catch it without accusing your staff.
Short answer: Cash leakage stops when no money can move without a record. Give every staff member their own login, count the drawer blind at each change of shift, ask for a reason and a second person for refunds, voids and big discounts, lock each day at night, and read a short list of exceptions every morning.
Most owners who lose money at the desk do not have a dishonest team. They have a system with gaps, where a mistake and a theft look the same, and nobody can tell which it was. Closing the gaps protects honest staff as much as it protects you.
Where the money leaks
- Stays that never reach the register. A guest pays cash for a night and the room is shown as empty.
- Bills changed after the guest leaves. A ₹4,000 bill becomes ₹3,000 and the difference goes missing.
- Quiet discounts and voids. A discount or a cancelled charge with no reason and nobody else involved.
- Refunds to the wrong place. A refund made in cash for a booking that was paid online.
- Drawers that are counted by the person who filled them. Short or long, nobody can tell.
- Shared logins. When everyone uses one password, no change can be traced to a person.
Eight checks that work
- One login for every person. Every change is then recorded against a name. Hotel finance groups put individual user IDs and an audit trail near the top of their lists of controls.
- Separate the jobs. The person who takes the cash should not also be the person who reconciles it or approves the deposit.
- Count the drawer blind. At each change of shift, staff count the cash before the system shows what should be there, and a second person witnesses the handover.
- A reason and a second person for refunds, voids and big discounts. Choose a limit above which a manager must approve.
- Never let cash be taken above the bill. If the bill says ₹3,000, the system should not record ₹3,500 in cash against it.
- Match every room to a stay. Each night, compare rooms that housekeeping cleaned with rooms that have a bill. A room that was cleaned but never billed deserves a question.
- Lock the day at night. Once the night audit is done, the day's bills should not change without a clear record of who changed them and why.
- Read the exceptions every morning. A short list of discounts, voids, refunds, drawer differences and late changes, read in five minutes, does more than a long report nobody opens.
How to bring it in without upsetting your team
Tell your staff what is changing and why: the checks protect them, because a short drawer can then be explained instead of guessed at. Start with logins and blind counts, which cost nothing. Add approval limits once people are used to them. Above all, follow up on the morning list, because checks that nobody reads stop working.
What cameras can add
Cameras at the desk and at the entrance can answer questions the records cannot, for example whether a guest arrived on a night the room was shown as empty. Our guide on what hotel CCTV can tell you explains how to use them without spying on guests.
How Keyvasa does it
Keyvasa includes these money checks in every plan: cash can never be more than the bill, the drawer count is blind, refunds and voids need an extra security check, each day is locked at night, and every change is in the audit trail with a name and a time. Owners get alerts in the app and a short summary every morning on the owner reports.
